Cancellation and Refund Policy

This Cancellation and Refund Policy applies to bookings made through Alva Japan Tours, operated by AlvaJapan LLC.

Please read this policy carefully before making a booking. By booking a tour or experience through our website, you agree to this Cancellation and Refund Policy, our Terms of Use, and any specific cancellation conditions stated on the relevant tour or experience page.

1. General Cancellation Policy

Unless otherwise stated on the relevant tour or experience page, the following cancellation policy applies:

  • Cancellations made more than 24 hours before the scheduled start time: full refund.

  • Cancellations made within 24 hours before the scheduled start time: no refund.

  • No-shows: no refund.

The cancellation deadline is calculated based on the local time in Japan.

2. Tour-Specific Cancellation Conditions

Some tours or experiences may have different cancellation conditions due to ticket arrangements, facility rules, restaurant reservations, private bookings, special events, or other operational reasons.

If a tour-specific cancellation policy is stated on the relevant tour or experience page, that policy will apply instead of the general cancellation policy.

Please review the cancellation conditions on the relevant tour or experience page before completing your booking.

3. How to Cancel a Booking

To cancel a booking, please follow the cancellation instructions provided in your booking confirmation email or contact us at:

Your cancellation request must be received by us before the applicable cancellation deadline.

4. Refund Method

Eligible refunds will generally be issued to the original payment method used at the time of booking.

Refund processing times may vary depending on the payment service provider, card issuer, bank, or other financial institution. After we process the refund, it may take several business days for the refund to appear in your account.

5. Payment Processing Fees and Exchange Rates

Unless otherwise required by applicable law, Alva Japan Tours is not responsible for any fees, exchange rate differences, foreign transaction fees, bank charges, card issuer fees, or other costs charged by third-party payment providers, banks, or card issuers.

If your payment was made in a currency other than Japanese yen, the final amount refunded may differ from the original amount due to exchange rate fluctuations or fees charged by your payment provider.

6. Late Arrival

Please arrive at the meeting point by the time stated in your booking confirmation.

If you arrive late, we may not be able to delay the tour or allow you to join after the tour has started. Late arrivals may be treated as no-shows, and no refund will be provided.

If you think you may be late, please contact us as soon as possible. We will try to assist where reasonably possible, but we cannot guarantee that you will be able to join the tour.

7. No-Show

If you do not arrive at the meeting point by the scheduled start time and do not participate in the tour, this will be treated as a no-show.

No refunds will be provided for no-shows.

8. Changes or Cancellations by Us

We may need to change, reschedule, or cancel a tour due to weather, facility closure, transportation disruption, guide availability, operational reasons, safety concerns, low availability of required tickets, or other circumstances beyond our reasonable control.

If we cancel a tour before it starts, we will offer you one or more of the following options where applicable:

  • reschedule to another available date or time;

  • join an alternative tour or experience;

  • receive a full refund.

If you do not choose a rescheduling or alternative option within the period specified in our communication, we may process a refund where applicable.

9. Weather and Outdoor Conditions

Some tours may operate in light rain or normal weather conditions. Please check the relevant tour page for any weather-related notes.

If we determine that weather conditions make it unsafe or impractical to operate the tour, we may reschedule or cancel the tour and provide options as described above.

If the tour operates as scheduled and you choose not to participate due to weather, the standard cancellation policy will apply.

10. Changes to Itinerary

Tour routes, schedules, facilities, restaurants, menus, activities, or other details may be changed due to weather, traffic, public transportation delays, facility closures, crowd conditions, operational reasons, or safety concerns.

We will make reasonable efforts to provide an experience that is as close as possible to the original tour description. Minor changes to the itinerary do not automatically entitle you to a refund.

11. Tickets, Admission Fees, Restaurants, and Special Arrangements

Some tours may include tickets, admission fees, restaurant reservations, workshops, private instructors, performers, or other third-party arrangements.

For tours involving non-refundable tickets, facility fees, restaurant charges, private arrangements, or special preparations, different cancellation and refund conditions may apply. Such conditions will be stated on the relevant tour or experience page where applicable.

12. Participant Requirements

Some tours may have participation requirements, including age restrictions, health or mobility requirements, dress codes, or other conditions.

If you fail to meet the participation requirements stated on the relevant tour page, or if you are unable to participate due to reasons attributable to you, no refund may be provided.

For tours involving alcohol, participants may be required to be at least 20 years old, which is the legal drinking age in Japan.

13. Refusal of Participation

We may refuse participation or remove a participant from a tour without refund if the participant:

  • behaves in a dangerous, disruptive, abusive, or inappropriate manner;

  • appears to be intoxicated or under the influence of drugs;

  • fails to follow guide instructions or facility rules;

  • endangers themselves, other participants, our guides, staff, local residents, or third parties;

  • violates our Terms of Use or applicable laws.

14. Duplicate or Mistaken Bookings

If you believe you made a duplicate or mistaken booking, please contact us as soon as possible at:

We will review the situation and may provide assistance where reasonably possible. However, refunds are not guaranteed if the request is made within the non-refundable period or after the tour has started.
